Executive Assistant to the Clergy
Full Time
Monday-Friday, 9am-5pm, 4pm on Friday, with availability for 4-5 weekday nights or weekend dates per month
The Executive Assistant to the Clergy serves as the gateway for congregants and the greater community to access clergy and supports the clergy and the temple in efforts to successfully respond to, connect with, and inspire congregants and the greater community.
Superior administrative support skills, experience and the highest level of discretion, confidentiality and respect when dealing with both clergy as well as members of our congregation is critical to success.
This position requires excellent communication skills, being detail oriented, patience and calm. Knowledge of Jewish calendar and lifecycle is a plus, but not required.
We are seeking someone with professional and congenial phone and people skills, reliability, and willingness to work collaboratively with clergy, staff and volunteers. This person should have high level knowledge of Microsoft Outlook, MS Office Suite, Zoom and Google Docs. Strong computer skills and willingness to learn new computer skills are absolutely required.
Position responsibilities include, but are not limited to:
• Be a first point of contact to assist and connect those in need of clergy or temple support
• Manage clergy calendars, meetings and programs, including scheduling, tracking information, preparing related materials and providing in-person support. Such support will require presence outside of regular office hours from time to time.
• Maintain clergy and temple correspondence in person, by phone, online and in print
• Be an active part of the staff team, welcoming and supporting members and visitors in person and by phone, with a smile.
Position Requirements and Qualifications:
• Successful work experience in a busy office setting
• Strong working knowledge of office procedures
• Outstanding oral and written communication skills
• Discretion in handling confidential information and sensitive matters of congregant care.
• High level of proficiency with office computer software noted in description
• Excellent organizational skills
• Availability to work 4-5 dates per month on a weeknight or weekend, including on occasional Shabbat or other Jewish holidays
• Self-starter who can take direction, work independently and anticipate the needs of others
Schedule:
• 8-hour shift
• Monday to Friday
• Flexibility for 4-5 weekday nights or weekend dates per month
• Availability for occasional calls outside of typical work schedule
Ability to commute/relocate:
• Great Neck, NY 11023: Reliably commute or planning to relocate before starting work (Preferred)
Experience:
• Administrative: 3 years (Preferred)
